Microsoft Dynamics 365 Integration: Setup & How to Use

The Microsoft Dynamics 365 Sales Hub integration connects your Aligned deal rooms to Microsoft Dynamics and writes buyer engagement from your rooms into Dynamics.

Engagement analytics are written into the Timeline Notes in MS Dynamics, for each connected Opportunity, Account, or Lead. Aligned Admins set up the integration at the account level, and room owners link individual rooms to a specific Dynamics record.

The Microsoft Dynamics 365 integration pushes data from Aligned to Dynamics — it does not pull deal fields (such as amount, stage, or close date) from Dynamics into Aligned. The integration is available on all Aligned plans: Free, Basic, Pro, Enterprise, and Startup.

Prerequisites

  • Plan: Free, Basic, Pro, Enterprise, or Startup

  • Role (account-level setup): Aligned Admin

  • Role (room-level connection): Room Owner

  • Technical: An active Microsoft Dynamics 365 Sales Hub environment and its environment URL (for example, https://<org>.crm.dynamics.com). The Aligned Admin connecting the integration must have permission in Dynamics to create Notes (Annotations) on Opportunity, Account, and Lead records.

How to Connect Microsoft Dynamics 365 at the Account Level

Only an Aligned Admin can connect Microsoft Dynamics 365 to the account.

  1. Navigate to Settings → Integrations → My Integrations.

  2. Locate Microsoft Dynamics 365 (Sales Hub) in the integrations list → Click Connect.

  3. Enter your Dynamics environment URL (for example, https://<org>.crm.dynamics.com).

  4. Complete the Microsoft authentication flow.

  5. Confirm the integration status changes to Connected.


How to Configure Account-Level Integration Settings

After connecting Microsoft Dynamics 365, open the CRM settings modal to display your controls. An Aligned Admin can return to these settings at any time from Settings → Integrations → Microsoft Dynamics 365 → Manage.

  • Manually connect rooms to Dynamics (default: ON). When enabled, room owners decide which rooms to link to a Dynamics record.

  • Mandatory sync all new rooms with CRM (default: OFF). When enabled, every new room must be connected to a Dynamics record at the moment of creation. Room creation is blocked until a record is selected.

  • Sync contacts from Aligned to CRM (default: ON). When enabled, any buyer with an email who enters a connected room is added as a Contact in Dynamics.

  • Modify analytics sent to CRM. Choose which buyer engagement events Aligned writes to the Dynamics Timeline. See "What Aligned Pushes to the Dynamics Timeline" below.

How to Connect a Room to a Dynamics Record

A room owner can connect a room to a Microsoft Dynamics 365 Opportunity, Account, or Lead. Each room can be connected to one Dynamics record at a time.

From Room Settings:

  1. Open the room you want to connect.

  2. Click Room Settings → Integrations.

  3. Select the entity type: Opportunity, Account, or Lead.

  4. Search for the record by name.

  5. Click Connect. A success toast confirms the connection.

Connect Room to MS Dynamics From the Rooms Dashboard:

  1. Go to the Rooms Dashboard.

  2. Click the CRM column for the room you want to connect (The CRM column is added to the dashboard automatically after the account-level connection).

  3. In the CRM drawer, select the entity type: Opportunity, Account, or Lead.

  4. Search for the record and click Connect.

Connect Room to MS Dynamics During New Room Creation:

  1. When you create a new room (blank, from template, duplicated, or via Create with AI), Aligned prompts you to connect the room to a Dynamics record.

  2. The prompt is optional unless the Aligned Admin has enabled Mandatory sync all new rooms with CRM, in which case room creation is blocked until you select a record.


How to Disconnect a Room or the Account-Level Integration

Disconnect a single room from its Dynamics record:

  1. Open the room.

  2. Click Room Settings → Integrations.

  3. Click Disconnect next to the connected Dynamics record.

  4. Confirm the action.

After disconnecting, Aligned stops writing engagement events from that room to the Dynamics Timeline. Notes already written to Dynamics remain on the record's Timeline and are not deleted.

Disconnect Microsoft Dynamics 365 at the account level (Admin only):

  1. Navigate to Settings → Integrations → My Integrations.

  2. Click Microsoft Dynamics 365 (Sales Hub) → Disconnect.

  3. Confirm the action.

When the account-level integration is disconnected, every room that was connected to a Dynamics record is also disconnected. Aligned stops syncing engagement events to Dynamics for all rooms. Notes already written to Dynamics remain on each record's Timeline and are not deleted.

Aligned Engagement Analytics Pushed to the Dynamics Timeline

  1. When a room is connected to a Dynamics record, Aligned writes buyer engagement events as Notes (Annotations) on the connected record's Timeline.

  2. Each Note is prefixed with [Aligned] and includes the room name, the buyer who triggered the event, and the event details.

  3. Notes appear in chronological order on the Opportunity, Account, or Lead Timeline alongside other Dynamics activity.

  4. To see the full list of analytics sent to the CRM, go to Settings → Integrations → MS dynamics 365 → Settings → Open “Modify analytics sent to CRM”.


Limitations

  • The Microsoft Dynamics 365 integration pushes data from Aligned to Dynamics only. Aligned does not pull deal fields (amount, close date, stage) from Dynamics.

  • Each Aligned room can be connected to one Dynamics record at a time.

  • Aligned does not auto-create rooms when records are created in Dynamics.

  • AI-powered analytics features (Deal Insights, AI Highlights) are not available for Microsoft Dynamics 365–connected accounts.

  • CRM Insights section on the Analytics page is not available for Microsoft Dynamics 365–connected accounts.

  • The Microsoft Dynamics 365 integration is not supported on the Aligned mobile experience.


Troubleshooting & FAQ

Expected errors and blocks

Connection fails because the Dynamics environment URL is not valid

What this means: The environment URL entered during setup does not match a reachable Microsoft Dynamics 365 organization. Aligned cannot establish the connection.

How to fix it: Open Microsoft Dynamics 365, copy the environment URL from the address bar (the part ending in .crm.dynamics.com, .crm4.dynamics.com, or your regional domain), and re-enter it in Settings → Integrations → Microsoft Dynamics 365 → Connect.

How to avoid it: Confirm the environment URL with a Dynamics Admin before starting the connection.

Connection succeeds but engagement events are not appearing on the Dynamics Timeline

What this means: The Dynamics user account used to authenticate the integration does not have permission to create Notes (Annotations) on Opportunity, Account, or Lead records.

How to fix it: Ask a Microsoft Dynamics 365 Admin to grant the connecting user permission to create Notes on the relevant entities, then disconnect and reconnect the integration in Settings → Integrations.

How to avoid it: Verify Note creation permissions in Dynamics for the connecting user before setting up the integration.

Room creation is blocked because no Dynamics record is selected

What this means: The Aligned Admin has enabled Mandatory sync all new rooms with CRM. Every new room must be connected to a Dynamics Opportunity, Account, or Lead at the moment of creation.

How to fix it: In the new room creation flow, select an entity type, search for the Dynamics record, and click Connect before continuing.

How to avoid it: Ask an Aligned Admin to disable Mandatory sync all new rooms with CRM in Settings → Integrations → Microsoft Dynamics 365 if room creation should not be gated by a CRM connection.

Account-level integration cannot be set up because the user is not an Aligned Admin

What this means: Connecting Microsoft Dynamics 365 at the account level requires Aligned Admin permissions.

How to fix it: Ask an Aligned Admin to set up the integration in Settings → Integrations.

How to avoid it: Confirm your Aligned role in Settings → Team before attempting account-level integration setup.

Who can connect Microsoft Dynamics 365 at the account level?

Unexpected errors

An engagement event happened in my room but never appeared on the Dynamics Timeline. What should I check?

First confirm the room is connected to a Dynamics record in Room Settings → Integrations, and that the specific event type is enabled in Settings → Integrations → Microsoft Dynamics 365 → Modify analytics sent to CRM. If both are correct and the event still does not appear, contact Aligned Support with the room URL, the Dynamics record URL, the event type, and the approximate timestamp.
