Microsoft Teams Integration: Receiving Room Activity Notifications in Teams

The Microsoft Teams integration sends real-time notifications to a Microsoft Teams channel when buyers interact with Aligned Rooms. Sellers receive room activity updates directly in Teams, improving deal visibility without leaving their workspace.

The integration is one-way only → Aligned sends notifications to Microsoft Teams.

No actions can be performed from Teams back to Aligned.

  1. Each user connects their own Microsoft Teams integration at the user level.

  2. Notifications are sent only for rooms owned by that user.

  3. If multiple users want notifications in the same Teams channel, each user must configure their own webhook.

Prerequisites

  • Plan: Free, Basic, Pro, Enterprise

  • Microsoft Teams: An active Microsoft Teams account with permission to create a Workflow (incoming webhook) in the selected Teams channel. If you do not have permission, contact your Microsoft Teams administrator.

How to Create a Webhook URL in Microsoft Teams

Microsoft Teams uses the Workflows app (powered by Power Automate) to generate webhook URLs.

To create a webhook URL in Microsoft Teams:

  1. Open Microsoft Teams.

  2. Navigate to the channel where you want to receive notifications.

  3. Click the three dots menu (⋯) in the top-right corner of the channel.

  4. Select Workflows.

  5. Search for and select "Send webhook alerts to a channel".

  6. Confirm the Team and Channel fields are set correctly (these auto-populate when creating from a channel).

  7. Click Save.

  8. Update the workflow name if needed.

  9. Copy the link by clicking “Copy webhook link”.

  10. If you build workflow from scratch → Be sure to set the "Who can trigger the flow?" to "Anyone".

    1. This setting is required for Aligned to send notifications to the channel.

Note: Creating and managing Workflows may require IT admin permissions in your Microsoft Teams organization. If the Workflows app is not available, contact your Microsoft Teams administrator.


How to Connect Microsoft Teams in Aligned

To connect Microsoft Teams in Aligned using the webhook URL:

  1. Navigate to My Account > Settings > Integrations > My Integrations.

  2. Click Connect next to Microsoft Teams.

  3. Paste the copied Webhook URL.

  4. Click Connect.

  5. Verify that your notification preferences are enabled.

The Microsoft Teams integration is now active. Aligned sends room activity notifications to the connected Teams channel.

How to Manage Notification Preferences

You can control which room events trigger Microsoft Teams notifications from two locations.

From a Room:

  1. Click the gear icon next to the room title.

  2. Go to Notifications.

  3. Enable or disable Microsoft Teams for specific events.

From Account Settings:

  1. Navigate to Settings > My Notifications.

  2. Enable or disable notification types for Microsoft Teams.

Supported Notification Events

Microsoft Teams notifications are triggered by room activity. The following events are supported:

  • Room was visited

  • Room is hot

  • Room is cold

  • Room was not visited

  • A comment was made

  • A prospect uploaded a file or video

  • A prospect downloaded a file

All Microsoft Teams notifications include:

  • Main title (activity headline)

  • Room name reference

  • Activity description

  • "Open room" button

Supported Channels

The Microsoft Teams integration supports notifications to:

  • Private Teams channels

  • Collaborative Teams channels

Each user can connect only one webhook URL at a time. Each webhook URL sends notifications to one specific Teams channel.

Limitations

  • One webhook URL per user.

  • One Teams channel per webhook URL.

  • One-way only → no actions can be performed from Teams back to Aligned.

  • Channel selection is managed entirely in Microsoft Teams during webhook creation.

  • Notifications are sent only for rooms owned by the connected user.

  • The "Who can trigger the flow?" setting in the Teams Workflow must be set to "Anyone" for Aligned to deliver notifications.


Troubleshooting & FAQ

Expected errors and blocks

"MS Teams flow trigger permission is not set correctly. Please set 'Who can trigger the flow?' to 'Anyone'." What this means: The Microsoft Teams Workflow that generates the webhook URL has a restricted trigger permission. Aligned cannot send notifications unless the flow is set to allow requests from any sender. How to fix it:

  1. Open Microsoft Teams.

  2. Open the Workflows app.

  3. Select the workflow connected to Aligned.

  4. Click Edit in Power AutomateDelete

  5. Expand the "When a Teams webhook request is received" trigger.

  6. Set "Who can trigger the flow?" to "Anyone".

  7. Click Save.

"MS Teams webhook URL was deleted. Please create a new one and update the integration. Learn more" What this means: The webhook URL configured in Aligned no longer exists in Microsoft Teams. The Workflow that generated the URL was deleted or disabled, so Aligned cannot deliver notifications to the Teams channel. How to fix it:

  1. Create a new webhook URL in Microsoft Teams by following the steps in How to Create a Webhook URL in Microsoft Teams above.

  2. Navigate to My Account > Settings > Integrations > My Integrations in Aligned.

  3. Edit the Microsoft Teams integration.

  4. Paste the new Webhook URL.

  5. Click Save.

How to avoid it: Do not delete or disable the Workflow in Microsoft Teams after connecting the integration in Aligned. If you need to change the target channel, create a new Workflow first and update the webhook URL in Aligned before deleting the old Workflow.


Unexpected errors

Q: Why are my Microsoft Teams notifications not being delivered? If notifications are not arriving in your Teams channel and no error message appears on the Integrations page, verify the following: the webhook URL is still valid in Microsoft Teams, the Workflow has not been disabled, the correct Teams channel is selected, and your notification preferences are enabled in Aligned. If all settings are correct and notifications still fail, reconnect the integration with a new webhook URL.

FAQ

Q: Can multiple users send notifications to the same Teams channel? A: Multiple users can send Aligned notifications to the same Microsoft Teams channel. Each user must create and connect their own Workflow webhook URL that points to the shared channel.

Q: Can I change the Teams channel after connecting the integration? A: To change the Teams channel for Aligned notifications, create a new Workflow in Microsoft Teams targeting the new channel, copy the new webhook URL, and update the integration in My Account > Settings > Integrations > My Integrations in Aligned.

Pro Tips

  • Set "Who can trigger the flow?" to "Anyone" during setup → this is the most common reason notifications fail after connecting the integration. Confirm this setting before saving the integration in Aligned.

  • Bookmark the Workflows app in Teams → if you ever need to copy the webhook URL again, open the Workflows app, select the workflow, click Edit, and expand the "When a Teams webhook request is received" trigger to find the URL.
