Notifications: Control Room activity emails alerts

Control which Room activity notifications you receive from My Notifications or from each Room’s Notifications settings. Use My Notifications to set your default notification preferences for new Rooms. Use a Room’s Notifications settings when you want different rules for one specific Room. Turn alerts on or off for visits, engagement, comments, reminders, file activity, and supported CRM activity. Changes in My Notifications apply to new Rooms only, while existing Rooms keep their current Room-level settings.

Prerequisites & Requirements

  • Plan: All plans.

  • Permissions:

    • Manage your own default notification preferences: any user.

    • Manage Room-level notification settings: Room owner.

  • Technical Specs:

    • My Notifications changes do not affect existing Rooms. They apply to new Rooms only.

    • Notification delivery can appear depending on the notification type and your connected integrations.

How to stop or allow notifications for new Rooms

  1. Go to My AccountSettings.

  2. Click My Notifications.

  3. Turn the notifications you want on or off under Email

You can manage notifications such as:

  • Room was visited

  • Room is cold

  • Room was not visited

  • Room is hot

  • A comment was made

  • Allow Aligned to send client reminders

  • A prospect uploaded a file or video to a room

  • A prospect downloaded a file from a room

  • A visitor engaged with HubSpot quote section

How to stop or allow notifications for one specific Room

  1. Open the Room.

  2. Click the gear icon next to the Room title -> Notifications.

  3. Turn the notifications you want on or off for that Room.

What each Room notification means

  • Room was visited: someone entered the Room.

  • Room is hot: someone stayed in the Room for more than 40 minutes.

  • Room is cold: no one opened the Room for 6 straight days.

  • Room was not visited: no one visited the Room within 4 days after the first share.

  • A comment was made: someone commented in the Room.

  • Allow Aligned to send client reminders: Aligned can send reminder emails to prospects who did not visit the room 4 days after last visit.

  • A prospect uploaded a file or video to a room: a buyer added new content to the Room.

  • A prospect downloaded a file from a room: a buyer downloaded Room content.

  • A visitor engaged with HubSpot quote section: a visitor interacted with the HubSpot quote section in the Room.

Troubleshooting & Error States

Q: I turned notifications off in My Notifications, but I still get emails from an existing Room.

Answer: Open that Room’s Notifications settings and turn the alert off there. My Notifications changes do not update existing Rooms.

Q: I still get “Room was visited” emails.

Answer: Open the Room’s Notifications settings and turn off Room was visited.

Q: What happens if I turn off client reminders?

Answer: Aligned stops sending prospect reminder emails for that notification setting.

Pro-Tips

  • Use My Notifications to set your default alert mix once, then change only the Rooms that need a different setup.

  • Keep Room was visited and Room is hot on for active deals, and turn off lower-priority alerts for Rooms you do not monitor closely.
