Room reminders: automatic emails to buyers and alerts to sellers

The two automatic emails buyers receive, the alerts Aligned sends you, and how to control both.

Overview

Aligned sends automatic emails to buyers and separate activity alerts to you. Buyers receive two automatic emails: a reminder four days after an invite they never accepted, and an overdue task notice one day after a task assigned to them passes its due date. You receive alerts about Room activity — when a Room is visited, when nobody has entered it, when a buyer spends a long time in it, and when it has gone quiet. Aligned does not automatically email a buyer who entered the Room and simply stopped returning, unless that buyer has an overdue task.

  • Plan: All plans.

  • Role: The Room owner can manage every notification on a Room. Admins can manage them too, except Slack notifications. Every user manages their own account-level notification preferences.

Assigning a task never emails the assignee on its own. The assignee hears from Aligned only when you press Notify assignee, or automatically once the task is a day overdue.

What buyers see

A buyer who never accepts a Room invite receives one reminder email four days later, pointing them at the Room. A buyer who has already entered the Room receives no automatic reminder for staying away, however long the gap — unless they have a task in the Room, in which case Aligned emails them one day after that task's due date passes. Buyers also receive comment notifications, and Room update notifications when you choose to send them.

How to change your notifications for one Room

Room-level settings control the alerts Aligned sends you about that one Room.

  1. Open the Room.

  2. Click the gear icon next to the Room title.

  3. Open Notifications.

4. Toggle the alerts you want: Room was visited, Room is hot, Room is cold, and Room was not visited.

You can change these at any time, and the change applies to that Room only.

How to change your notifications across all Rooms

  1. Open Settings.

  2. Open My notifications.

  3. Set your preferences.


How to re-engage a buyer who stopped returning

The most reliable automatic nudge is a task with a due date, because the overdue notice fires on its own. Use the Room alerts to catch silence, and a task to create a reason for Aligned to email the buyer.

  1. Assign the buyer a task in the Mutual Action Plan and set a due date. If the date passes, Aligned emails them the day after, with no action from you.

  2. Turn on Room is cold for the Room, so Aligned tells you after six days with no visits.

  3. When the alert arrives, open Room Analytics to see who last visited and what they looked at.

  4. Press Notify assignees in the Plan tab to email each assignee a link straight to their open tasks, or send a Room update notification from the share drawer.

Limitations

  • No general re-engagement email: the invite reminder covers only buyers who never accepted. A buyer who entered once and went quiet is emailed automatically only if they have an overdue task.

  • Fixed timings: four days for the invite reminder and for Room was not visited, six days for Room is cold, 40 minutes for Room is hot, one day past the due date for an overdue task. None of these thresholds is configurable.

  • Assignment does not notify: assigning a task sends no email. Press Notify assignee to send one.

  • Slack notifications: the Room owner controls them. Admins can manage every other notification on a Room but not Slack.


Troubleshooting & FAQ

Unexpected errors

Q: Why did my buyer not receive a reminder?

The automatic invite reminder is sent only to a buyer who never accepted the Room invite, once, four days after the invite. A buyer who already entered the Room does not receive one. Check Room Analytics to confirm whether they entered; if they never entered and no reminder went out after four days, contact Aligned support with the Room name and the buyer's email address.


FAQ

Q: Does Aligned email buyers who have not come back to the Room?

Aligned does not email a buyer just for staying away. It emails them automatically if a task assigned to them goes a day overdue, and it alerts you through Room is cold after six days with no visits so you can follow up yourself.

Q: How long after sharing a Room does the buyer reminder go out?

Four days after the invite, and only if the buyer never accepted it.

Q: Does my buyer get an email when I assign them a task?

Assigning a task sends no email on its own. Press Notify assignee to email them immediately, and Aligned emails them automatically one day after the due date passes.

Q: Can I change the four-day or six-day timing?

The timings are fixed and cannot be changed. You can turn each alert on or off, per Room or across your account.

Q: How do I stop getting so many emails about one Room?

Open the Room, click the gear icon next to the Room title, open Notifications, and turn off the ones you do not need for that Room. Your other Rooms are unaffected.

Q: What is the difference between "Room was not visited" and "Room is cold"?

Room was not visited tells you nobody has entered the Room at all, four days after you first shared it. Room is cold tells you the Room has gone quiet for six straight days, which can happen after buyers were active in it.

Q: Who can change notification settings on a Room I own?

You can change all of them as the Room owner. Admins can change them too, with the exception of Slack notifications.


Pro Tips

  • Give every buyer task a due date. The overdue notice is the only automatic email that reaches a buyer who has already entered the Room.

  • Turn on Room was not visited and Room is cold on deals that matter. They are your only signals that a buyer has disengaged, and neither is on by default.

  • Turn off Room was visited on high-traffic Rooms. It fires on every visit, and the noise makes the alerts that matter easier to miss.
