Create a Next Steps section to run a mutual action plan inside the Room. Add tasks, set Due date, and assign an owner so both seller and buyer teams track timelines in one place. Attach files and links directly to a task when you want each step to carry its own context. Use Task manager to view tasks across Rooms and separate Internal tasks from buyer-visible tasks.

How to add the Next Steps section to a Room
Open the Room.
Click Add section.
Select Next Steps.
How to add a task with an owner and due date
In Next Steps, create a new task (enter the task name).
Set Due date (optional).
Assign an owner (optional): Tag a colleague, prospect, or customer.
How to add task details (attachments, description, subtasks, comments)
Click the task row to open the task drawer.
Click the +Add Files & Links to add files/links.
Click the Description area and add context.
Add Subtasks (optional) and set a Due date / owner for each.
Add Comments under the task when you want a decision trail.
How to mark a task/subtask as complete
In Next Steps, click the circle to the left of the task/subtask name.
What the Buyer sees
Buyers can add their own files and content in Next Steps.
In Salesforce-connected Rooms, buyer task actions (for example Added a Task / Completed a Task) can sync as buyer actions (depending on CRM notification settings).
How to track tasks across Rooms in Task manager
Open Task manager.
Filter by Room.
Choose My tasks or All Users tasks (based on your role permissions).
Filter by Internal or External tasks.
Filter by task status (or search by task name): Open, Overdue, Completed, All.
Important: Hide internal work from buyers. Mark internal tasks as Internal so clients don’t see them.
Troubleshooting & Error States
Q: My customer can’t see a task.
Answer: Check if the task is defined as Internal, if so, mark the task as External. Internal tasks don’t show to clients.
Q: The assignee didn’t get an email about the task.
Answer: Click Notify assignee. Aligned sends the email only when you press Notify assignee (not on every assignment).
Q: I have limited access to the Task manager.
Answer: Use a work email account. Private users can’t use Task manager.
Q: I can’t find Task manager on mobile.
Answer: Open Aligned on desktop. Aligned doesn’t show Task manager on mobile.
Security & Operations
Don’t expect Aligned tasks to sync as CRM tasks. Aligned doesn’t sync Next Steps tasks into Salesforce/HubSpot tasks.
Sync only buyer task actions to Salesforce (when enabled). Salesforce can show buyer actions like Added a Task and Completed a Task, but it won’t show seller task edits/completions.
Keep internal work internal. Internal tasks don’t show to clients and don’t appear as buyer actions in Salesforce.

Use Task manager to run weekly follow-ups: filter by External tasks and status to spot what blocks the buyer.
