Edits a customer or prospect can make to a room

Customers and prospects can collaborate in a Room by updating Next Steps, uploading and downloading files, and adding comments. You can also give buyers interactive actions like CTA button clicks. If you enable AI Assist for clients, buyers can ask questions and route questions to the Room owner. Use these actions to keep decisions, files, and next steps in one place instead of splitting work across email.'

Prerequisites & Requirements

  • Plan:

    • File Sharing uploads: All plans

    • AI Assist: All plans (Free, basic, pro, enterprise) except private users.

  • Permissions: Buyer must have access to the Room

  • Technical Specs:

    • AI Assist: Room owner must enable AI Assist and enable Comments in the Room

How a customer updates Next Steps in the Room

  1. Open the Room.

  2. Open the Next Steps section (or the Plan tab, if the Room uses it).

  3. Click Add task (or the add action in Next Steps).

  4. Enter the task details.

  5. Click Due date and pick a date.

  6. Type @ and tag a stakeholder.

What the Buyer sees

  • The buyer edits tasks directly in the Room.

  • The buyer completes tasks after they finish them.

How a customer uploads files to File Sharing

  1. Open the Room.

  2. Go to the Files Sharing section.

  3. Click Upload.

  4. Select a file.

  5. Confirm the upload.

What the Buyer sees

  • Aligned shows the Files Sharing section in preview mode even when it has no files.

  • The buyer uploads files even when the section starts empty.

  • The buyer adds files/content to Next Steps and Files Sharing.

How a customer downloads files (individually or in bulk)

  1. Open the Room.

  2. Go to the file list (for example, Files Sharing or a files list inside a section).

  3. Click the checkbox next to one file (or multiple files).

  4. Click Download.

What the Buyer sees

  • The buyer selects one file or multiple files and downloads them in bulk or individually.

How a customer comments in a Room

  1. Open the Room.

  2. Clicks the comments icon (Top-right)

    1. OR Scroll to the relevant section.

  3. Click Comments at the bottom of the section.

  4. Type your message.

  5. Click Send CTA.

What the Buyer sees

  • The buyer comments on Room content when you enable Comments.

How a customer uses CTA buttons in a Room

  1. Open the Room.

  2. Go to the CTA section.

  3. Click one of the available buttons:

    • Can Response Button

    • Open a Tab Button

    • External Link Button

    • Request Button

  4. If you click Request Button, enter the request text and submit it.

What the Buyer sees

  • The buyer clicks CTA buttons to respond, open a tab, open an external link, or send a request.

How a customer uses AI Client Assist in a Room

  1. Open the Room.

  2. Open the AI Client Assist chat.

  3. Type a question and click Send.

  4. Click a suggested section link to navigate to the relevant content (when Aligned shows it).

  5. Click Ask Room owner to send the question to the Room owner.

  6. Click on suggested next steps to keep asking the AI Client Assist.

What the Buyer sees

  • The buyer asks AI Assist questions about Room content.

  • The buyer navigates to suggested sections from the answer.

  • The buyer clicks Ask Room owner to route a question to the seller.

Troubleshooting & Error States

Q: Why can’t buyers see AI Client Assist in the Room?

Answer: Enable AI Assist, set it to Show in Room, and enable Comments.

Q: Why can’t buyers comment in the Room?

Answer: Enable Comments in the Room.

Q: Why can’t buyers upload files to Files Sharing?

Answer: Add a Files Sharing section, then click Upload in Files Sharing.

Q: Why can’t buyers download files?

Answer: They need to select at least one file checkbox, then click Download.

Pro-Tips (Optional)

  • Add Files Sharing early in onboarding so buyers upload security questionnaires and procurement docs without email threads.

  • Keep Comments enabled when you want buyer collaboration and when you want AI Client Assist available in the Room.
