When and how to share your room and an example email explaining your room

Share a Room right after your initial call/demo so the prospect has one place to review your deck, call summary, pricing, and next steps. Add the Room link to your meeting recap email so stakeholders can find it later and forward it internally. Start with a lean Room, then add sections as the deal moves forward. Use a consistent email template so every prospect knows what to expect in the Room.

  • Permissions: Any user with access to add content to Room.

  • Technical Specs: None

When to share a Room with a prospect

  1. Share the Room after your initial call/demo.

  2. Send the Room link inside your meeting summary email.

  3. Start with a lean Room:

    • Welcome message

    • The deck you presented

    • Call recording

  4. Add more sections as the sales cycle progresses.

How to share a Room link

  1. Open the Room.

  2. Click Share.

  3. Copy the Room link.

  4. Paste the link into your meeting summary email.

What the Buyer sees

  • The buyer receives your email with the Room link.

  • The buyer opens the Room and reviews the content you added.

  • The buyer forwards the link to other stakeholders based on your Room access settings.

Troubleshooting & Error States

Q: Buyer sees “Access Denied.”

Answer: Invite the buyer again from the Room using Share so Aligned applies the correct access.

Q: Buyer sees “Link Expired.”

Answer: Copy a fresh Room link from Share and resend it.

Q: Buyer can’t find the deck or recording in the Room.

Answer: Add the missing items to the Room, then add a comment and tag the buyer, or reply to the email with the same Room link.

Pro-Tips

  • Keep the first version of the Room short so the prospect finds the key items fast.
