Rooms: Create and share a Room without overwhelming buyers

Start with a lean Room, then add detail as the deal or onboarding process moves forward. Use Preview to check the buyer view before you share, and use Hide section to keep future content out of sight until the right stage. Share the Room by email or link, then choose the permission level that matches the content sensitivity. Add Next Steps when both sides are ready to work in a shared plan instead of a simple overview.

Prerequisites & Requirements

  • Plan: All plans

  • Permissions: User with access to create and edit the Room

  • Technical Specs:

    • You can create a Room from a template, from scratch, by duplicating a Room, or with AI Deal Builder.

    • You can share a Room by email or link.

    • You can hide sections and reveal them later from the section controls

How to create a lean Room for the first share

  1. Create the Room from a template, from scratch, by duplicating a Room, or with AI Deal Builder.

  2. Add the customer’s company name.

  3. Select the customer logo or upload it manually.

  4. Add only the basics:

    • Welcome message

    • Demo recording

    • One deck or one core resource

  5. Remove anything the buyer does not need yet.

  6. Click Preview before you share.

What the Buyer sees

  • The buyer sees a simple Room with only the materials they need for this stage.

  • The buyer can focus on the main message without sorting through future-stage content.

How to hide sections until you need them

  1. Open the Room.

  2. Go to the section you want to hold back.

  3. Use the section controls in the top-right area.

  4. Click the Hide option (eye icon).

  5. Unhide the section later when you are ready to share it.

Use this when you want to prepare later-stage content in advance without showing it too early.

What the Buyer sees

  • The buyer does not see hidden sections.

  • When you unhide a section, it becomes visible in the Room.

How to decide when to add Next Steps

Use Next Steps later in the process, when both sides need active coordination.

  1. Start with a lean Room and a simple overview.

  2. Add Next Steps when the buyer is ready to align on owners, files, and task-by-task collaboration.

  3. Use Process Overview for high-level milestones.

  4. Use Next Steps for day-to-day collaboration and accountability.

What the Buyer sees

  • The buyer can collaborate in Next Steps once you add it.

  • Buyers can add files and content in Next Steps when the Room uses that section.

How to preview and share the Room

  1. Open the Room.

  2. Click Preview to check the buyer-facing view (Top-center).

  3. Click Share.

  4. Choose one sharing method:

    • Enter buyer email addresses to invite by email

    • Create a link to send in your own email or message

  5. Choose the permission level:

    • Anyone with a Link

    • Anyone with the Link (Ask for Name)

    • Require Email Address to Enter

    • Only Permitted Users Can View

    • Password Protection

  6. Click Preview&Share OR Copy Link - Depends sharing method..

What the Buyer sees

  • The buyer opens the Room through the invite email or shared link.

  • The buyer enters the Room based on the permission level you selected.

Troubleshooting & Error States

Q: My Room feels too crowded for a first share.

Answer: Remove extra content and hide future-stage sections before you share the Room.

Q: I want to prepare content now, but I don’t want the buyer to see it yet.

Answer: Use the section Hide control and reveal the section later.

Q: I’m not sure whether to use Next Steps or just keep an overview.

Answer: Keep the overview light at first. Add Next Steps when the process needs active task-by-task collaboration.

Q: Which sharing method should I use?

Answer: Use email invite when you want to invite specific buyers directly. Use a link when you want to place the Room in your own follow-up email or message.

Pro-Tips

  • Share the first version of the Room right after the first demo, with only the core assets buyers need now.

  • Use Preview every time you change the Room structure, branding, or permissions before you send it to buyers.
