Comments: Control email notifications for prospects and customers

Prospects and customers can receive email notifications when someone comments in a Room. Use @tagging to notify one person, or post without tags to notify everyone already in the thread. Reduce noise by changing comment-notification settings at the account level (for future Rooms) or at the Room level (for a specific Room).

Prerequisites & Requirements

  • Plan: All plans (every user can access My Account → Settings, including My Notifications)

  • Permissions:

    • Manage your own notification preferences: any user

    • Manage Room-level notification rules: Room owner

    • Technical Specs: Aligned sends comment notifications by email (“Comment on item”).

How to notify one prospect with a comment

  1. Open the Room.

  2. Open the relevant comment thread.

  3. Type @ and select the person you want to notify.

  4. Click Send.

What the Buyer sees

  • The tagged prospect receives an email notification when someone replies in the thread (tagged-only).

How to notify everyone already in a comment thread

  1. Open the Room.

  2. Open the relevant comment thread.

  3. Write a comment without tagging any usernames.

  4. Click Send.

What the Buyer sees

  • Everyone already in the thread receives an email notification when a new comment is added.

How to stop comment notification emails (User-level)

Use this when you want your default notification rules to apply to your new Rooms.

  1. Go to My AccountSettings.

  2. Open My Notifications.

  3. Turn off the Comment on item notification.

How to stop comment notification emails (Room-level)

Use this when one Room creates too many emails.

  1. Open the Room.

  2. Click the gear icon next to the Room title.

  3. Open Notifications.

  4. Turn off A comment was made for that Room.

Troubleshooting & Error States

Q: Will my prospect receive comment notifications by email?

Answer: Expect email notifications when someone comments in the Room (Comment on item) if the prospect participates in the thread and notifications stay enabled.

Q: I tagged a prospect, but they didn’t get an email.

Answer: Post another comment and tag them again, then ask them to check spam/junk for the notification email.

Q: My prospect says they get too many comment emails

Answer: Tag only the person you need to notify, or turn off Comment on item in Room Settings → Notifications.

Q: I can’t find where to control comment notifications.

Answer: Go to Account Settings → My Notifications for defaults, or Room Settings → Notifications for a specific Room.

Pro-Tips

  • Tag only the champion with @ when you want a response, then summarize the outcome in a follow-up comment for the wider thread.

  • Turn off Comment on item at the Room level for high-traffic Rooms, then re-enable it when you ask buyers to review a specific doc or decision.
