Add colleagues to a Room when you want teammates to edit content, review analytics, manage next steps, or help run the deal with you. Invite them through Share or from the Rooms page, then give them Edit access or transfer ownership if needed. Only teammates from your business email domain can be added as Room Collaborators. On the free tier, being added as a collaborator also counts toward that user’s Room limit.
Prerequisites & Requirements
Plan: Available across plans. On the free tier, each user has a limited number of Room slots, and collaborated Rooms count toward that limit.
Permissions: A Room owner or any teammate who already has access to the Room can invite additional Room Collaborators.
Technical Specs:
Colleagues must have an Aligned user in your workspace.
Only users with the same business email domain can be added as Room Collaborators.
How to add colleagues from inside the Room
Open the Room.
Click Share in the top-right corner.
Open Share with my team.
Enter your teammate’s email address or select them from the list.
Add them to the Room.
How to add colleagues from the Rooms page
Go to Rooms.
In the Team column, click the + icon next to the Room.
Add the teammate you want to invite.
How to change a collaborator’s permission
After you add a teammate, you can choose their permission level:
Edit access: lets them collaborate in the Room
Set as Room Owner: transfers ownership to that teammate
Only one user can be the Room owner at a time.
Troubleshooting & Error States
Q: I can’t add my colleague to the Room.
Answer: Make sure they already have an Aligned user in your workspace and use the same business email domain as you.
Q: I mentioned a teammate in a comment, but they still don’t have Room access.
Answer: Mentioning someone in a comment does not add them as a Room Collaborator. Invite them through Share or from the Rooms page.
Q: I added someone to the “Our Team” section, but they still can’t collaborate in the Room.
Answer: Adding someone to Our Team does not make them a Room Collaborator. Invite them through the Room sharing flow instead.
Q: My teammate can’t join a new Room on the free tier.
Answer: Check whether they already reached their Room limit. On the free tier, owned Rooms and collaborated Rooms both count toward the user’s cap.

Add teammates before you share the Room with buyers so your team can review content and next steps first.
Use Set as Room Owner when you hand off an account and need the new owner to control sharing and Room settings.
