Overview
Who can see your Rooms in Aligned depends on the other person's role in your account. Managers, Admins, and the account Owner can always see every Room in the account, including Rooms you own. Users cannot see other people's Rooms by default, unless an Admin or Owner turns that visibility on for the account. Seeing a Room is not the same as being able to change it, and Rooms are only ever visible to people inside your Aligned account — buyers and other companies never see them.

Users can always see recently shared Rooms across the account under Recent activity in the Rooms tab, even when account-wide Room visibility is off. Selecting a specific colleague to browse their Rooms requires the Manager, Admin, or Owner role.
What other people can do with your Rooms
Visibility and control are separate in Aligned. A Manager who can see your Room cannot delete it, archive it, or change its settings — those actions belong to Admins and Owners.

How to change account-wide Room visibility
Admins and Owners change account-wide Room visibility in the Admin Center, which holds the account's governance and permissions settings. The setting applies to the whole account rather than to individual Rooms.
Open the Admin Center from your avatar menu.
Find the Roles & Permission setting.
Turn the setting on to let Users see everyone's Rooms, or off to limit Users to their own Rooms.
Save the change.
The Admin Center is available to Admins and Owners only. Managers and Users see a message explaining that only admins can access the page.
What buyers see
Buyers never see your Room list. Room visibility settings apply only to teammates inside your Aligned account. A buyer only reaches a Room you have shared with them, and only at the access level set on that Room.
How to keep a specific Room private from teammates
Account-wide Room visibility is an all-or-nothing setting, so you cannot hide one individual Room from Managers, Admins, or the Owner. To keep working content away from teammates, use the seller-only Internal tab inside the Room, or your private My Library for files that should stay with you.
Limitations
Account-wide only: Room visibility is set for the whole account. You cannot hide an individual Room from teammates who have visibility.
Managers, Admins, and Owners always see everything: Their Room visibility cannot be turned off.
Admin and Owner only: Changing the visibility setting requires the Admin or Owner role, because the setting lives in the Admin Center.
Visibility is not access to buyers: The setting controls what teammates see inside your account. It has no effect on what buyers can reach.

What this means: The Room visibility setting lives in the Admin Center, and the Admin Center is limited to the Admin and Owner roles. Managers and Users see this message when they try to open it.

I can see a colleague's Room but cannot delete or archive it
What this means: Seeing a Room and controlling it are separate permissions. Deleting Rooms, archiving Rooms, and changing Room settings across the account are limited to Admins and Owners.
How to fix it: Ask an Admin or the Owner to perform the action, or ask the Room owner to transfer ownership to you.

Pro Tips
Use the Internal tab for notes, forecasts, and internal commentary you would not want a teammate reading out of context. Visibility of the Room does not have to mean visibility of everything in it.
If your team wants Users to learn from each other's Rooms, ask an Admin to turn account-wide visibility on rather than duplicating Rooms between teammates.
