CMS: Synced content between Library and Rooms

When a file from the Library is added to a Room, it stays connected to the Library version. This is called synced content. There are two types: team-synced and user-synced. The type is determined by the source the file was added from - Company Library or My Library.

Prerequisites

  • Plan: Available on all plans.

  • Role: Any user can add files to a Room from sources they have access to.

Team-synced vs user-synced

  • Team-synced - files added to a Room from Company Library. When the file is replaced in the Library, the change appears in every Room that uses it. Every user with access to the Library file can update it.

  • User-synced - files added to a Room from My Library. Only the user who added the file can update it from the Library, because no one else has access to the My Library source. Other Room participants can still view and download the file inside the Room.

How to add content from the Library to a Room

  1. In a Room section, click Add from Library.

  2. Choose the source: Company Library or My Library.

  3. Navigate into folders, or use search and Labels within the selected source.

  4. Select one or more files.

  5. Click Add to Room to confirm.

Rules:

  • Only folders and files you have access to are shown in the drawer.

  • Files already in the Room are not marked or disabled - they can be added again.

How to save a Room upload to the Library in the same step

When uploading a single file from your device into a Room, you can also save it to the Library.

  1. In a Room section, upload a file from your device.

  2. In the upload dialog, turn on Add to Library.

  3. Choose a destination - Company Library or My Library - and optionally a specific folder.

  4. (Optional) Add one or more Labels.

  5. Confirm the upload.

Defaults:

  • If you are allowed to upload to Company Library, the default destination is Company Library → Root level.

  • If the account toggle is off for your role, Add to Library is disabled.

Behavior afterward:

  • Saved to Company Library → Room file is team-synced.

  • Saved to My Library → Room file is user-synced (Admins only).

How to replace a file across every Room (team-synced)

Replacing a team-synced file in Company Library updates the file in every Room that uses it.

  1. In Company Library, open the file actions menu.

  2. Select Edit or Replace.

  3. Upload the new version or update the file details.

  4. Confirm to save.

Every Room that uses this file shows the new version. Analytics on the file are preserved.

Limitations

  • Bulk upload from device to a Room is not supported. Bulk add is supported only from the Library, via Add from Library.

  • Add to Library during a Room upload supports single file only.

  • My Library files added to a Room can only be updated from the Library by the file owner, because no one else has access to the My Library source.

FAQ

Q: When I add a file from My Library to a Room, who sees it?

Every Room participant, including buyers, can view the file inside the Room once you add it. The difference is that only you can update the file from the Library, because no one else has access to your My Library.

Q: If I replace a file in Company Library, does it update in every Room?

Yes. Team-synced files are connected to the Library, so replacing the file in Company Library updates every Room that uses it. Analytics are preserved.

Q: Why can't I replace a teammate's user-synced file?

Files added from My Library are tied to the user who added them. Only that user can replace the file from the Library, because My Library is private.

Q: What's the difference between adding a Library file and uploading directly to a Room?

Adding a Library file creates a synced connection - updates in the Library flow through to the Room. Uploading directly to a Room places a one-time copy with no Library connection, unless you turn on Add to Library during the upload.
