CMS: Share a single Library file

Files in the Company Library and My Library can be shared individually using a share link. A share link grants access to anyone you send it to, regardless of folder access or where the file lives in the Library - anyone with the link can view the file. Files in My Library are visible only to the owner in the Library UI, but once shared via a share link or added to a Room, the recipient or Room participants can view the file.

Prerequisites

  • Plan: Available on all plans.

    • User Group-based folder access is available on Pro and Enterprise plans only.

  • Role: Any user can share files they have access to.

How to share a file from the Library

  1. In the Library, open the file actions menu.

  2. Select Share.

  3. Copy the share link.

  4. Send the link to the intended recipient.

  5. (Optional) Hover the file and click Share.

Who can view a shared file

A share link grants access to anyone you send it to, regardless of where the file lives in your Library or what folder access is set. Folder access controls who sees the file in the Library view - it does not restrict who can open the file via a share link.

Separately, folder access determines who sees the file in their own Library UI:

  • Team Folder set to Everyone: all users in the account see the file in their Library.

  • Team Folder set to one or more User Groups: only members of those Groups see the file in their Library.

  • My Library: only the owner sees the file in the Library.

In all cases, a share link bypasses these restrictions for the recipient.

Sharing a Library file vs sharing content inside a Room

  • Sharing from the Library via share link gives recipients direct access to the file. The recipient does not need an Aligned account or specific folder access - they only need the link.

  • Adding a file to a Room lets all Room participants - including buyers - view the file, regardless of their Library access. This is the primary way to share Library content alongside other Room content.

Limitations

  • Files cannot have their own access setting separate from the folder they live in. Files always inherit folder access, which controls visibility in the Library UI.

  • "Only me" is not available in Company Library. No Library setting makes a file truly private once shared - a share link always grants access to anyone who receives it, and a file added to a Room is visible to every Room participant.

Q: Can I make a single Team Folder file visible to only myself?

No. "Only me" is not available in Company Library. Move the file to your My Library instead.

Q: Does a share link bypass folder access?

Yes. A share link grants access to whoever receives it, regardless of folder access or Library location. Folder access only controls who sees the file in their own Library view - it does not restrict the share link itself. Treat share links like any external link: once sent, the recipient has access.

Q: How do I share a file with a buyer?
