CMS: Folders

The Content Library in Aligned is organized into folders. Team Folders live inside the Company Library and are managed by Admins - they support subfolders with no depth limit. My Folders live inside each user's private My Library and are a flat, single-level structure (no subfolders). Every folder has a name and an optional description shown at the top of the folder page.

Prerequisites

  • Plan: Available on all plans.

  • Role: Admins manage Team Folders in Company Library. Every user has full control over My Folders in their own My Library.

How to create a Team Folder in Company Library (Admins)

  1. In the sidebar, select Company Library (Default folder).

  2. Navigate to where the new folder should live, or stay at the root.

  3. Click New.

  4. Select Create folder.

  5. Enter a folder name (required).

  6. (Optional) Enter a description to give teammates context about what belongs inside.

  7. Click Create to save.

By default, a new Team Folder inherits its parent's access. A Team Folder created at the root defaults to Everyone.

How to create a My Folder in My Library (any user)

My Library is a flat structure. Every My Folder lives at the root of My Library - My Folders cannot contain subfolders.

  1. In the sidebar, select My Library.

  2. Click New.

  3. Select Create folder.

  4. Enter a folder name (required).

  5. (Optional) Enter a description to give context about what belongs inside.

  6. Click Create to save.

How to upload files into a folder

Uploaded files land in the current location: inside a folder if one is open, at the root otherwise.

  1. In Company Library, navigate to the target Team Folder (or subfolder). In My Library, open the target My Folder, or stay at the root.

  2. Click New.

  3. Select Upload file.

  4. Choose one or more files from your device.

Files uploaded to a Team Folder inherit that folder's access. Files uploaded to the root of Company Library are set to Everyone. Supported file formats and maximum file size match the existing Library limits.

Users and Managers can upload to Company Library only when the account setting "Everyone can upload and edit files in the library" is turned on.

How to rename a folder or edit its description

  1. Open the folder.

  2. Click rename in sushi menu or directly on the description in the header to enter edit mode.

  3. Update the text.

  4. Press Enter or click outside the field to save.

Renaming Team Folders is available to Admins only. Users and Managers see Team Folder names and descriptions in read-only mode. Every user can rename their own My Folders.

How to move a folder or file

Move is available as a single-row action or as a bulk action after multi-selecting.

Who can move:

  • Admins can move anywhere, including between Company Library and their own My Library.

  • Users and Managers can move within Company Library only when the account toggle is on, and only for items they own. They can always move files between My Folders within their own My Library. They cannot move content between Company Library and My Library.

Steps:

  1. Select one or more folders or files.

  2. Click Move to from the row sushi menu or the bulk actions bar.

  3. Choose the target folder in the destination picker.

  4. If the move changes access, confirm the change in the modal.

  5. Confirm to move.

Rules:

  • Team Folders and files moved into a Team Folder inherit that folder's access. Team Folders are moved together with all their subfolders and files.

  • Files moved to the root of Company Library are set to Everyone.

  • My Folders can be moved into other My Folders but not for subfolders since My Library does not support subfolders. Files inside My Library can be moved between My Folders and the My Library root.

  • Moving a folder never automatically broadens access.

How to delete a folder or file

Deletion is permanent and removes content from every Room where it is in use.

To delete a folder:

  1. Open the folder actions menu.

  2. Select Delete.

  3. In the confirmation modal, tick the confirmation checkbox to acknowledge that the entire folder will be permanently removed, including content used in Rooms.

  4. Confirm to delete.

To delete a file:

  1. Open the file actions menu.

  2. Select Delete.

  3. Confirm in the modal.

Who can delete:

  • Admins can always delete Team Folders and files in Company Library.

  • Users and Managers can delete files in Company Library only when the toggle is on, and only for files they own. They cannot delete Team Folders.

  • Every user can delete My Folders and files in their own My Library.

How to download a folder

  1. Open the folder actions menu.

  2. Select Download.

  3. The folder downloads as a ZIP file that contains the folder's contents. For Team Folders, this includes all subfolders and files you have access to. For My Folders, this includes all files in the My Folder.

Folder navigation

  • Company Library: Team Folder depth is unlimited. The breadcrumb shows up to three folders. Beyond the third level, intermediate folders are collapsed under an ellipsis (...). Clicking the ellipsis opens the full list of intermediate folders. Only folders you have access to appear in the breadcrumb.

  • My Library: flat structure - every My Folder lives at the root. No subfolders. File can live in the root level or inside My folder.

Limitations

  • Labels apply to files only. Folders cannot be labeled.

  • File-level access is not editable. Files always inherit the access of the folder they live in.

  • My Library does not support subfolders. My Folders cannot contain other folders.

  • Users and Managers cannot create, edit, move, or delete Team Folders in Company Library, regardless of the account toggle.

  • Users and Managers cannot move content between Company Library and My Library.

FAQ

Why can't I create a Team Folder as a Manager?

Creating Team Folders in Company Library is restricted to Admins. The account toggle does not change this. You can create My Folders inside your own My Library without any permission restriction.

Can I move a folder from Company Library to My Library?

Only Admins can move folders between Company Library and My Library.

What happens to the files inside a folder I delete?

All files inside the folder are permanently deleted, including files already in use inside Rooms. Deleting a Team Folder also permanently deletes any subfolders and their files.

Can My Folders contain subfolders?

No. My Library is a flat, single-level structure - My Folders sit at the root of My Library and cannot contain other folders. Subfolders exist only in Company Library Team Folders.
