Search Within a Room

The Room Search feature helps you quickly locate tabs, sections, files, tasks, links, and text inside a Room. Search works in real time and navigates you directly to the relevant content in context.

Search is available across all plans.

Where Search Appears

Search is available inside a Room only.

It works in:

  • Edit mode

  • Preview mode

  • Buyer mode

Search does not exist outside a Room.

Search & AI Client Assist

The search field supports both:

  • Standard Room search

  • AI Client Assist (when enabled)

AI Client Assist Availability

AI Client Assist is controlled at three levels:

  1. Account Level (Admin)

    1. Enables or disables AI Client Assist for the entire organization.

  2. Personal Settings (User)

    1. Defines the default AI state for newly created Rooms.

    2. Does not affect existing Rooms.

  3. Room Level (Room Owner)

    1. Enables or disables AI per Room.

    2. Works only if enabled at the account level.

Mode Behavior

  1. Buyer & Preview Modes

    1. “Search or Ask AI Client Assist” appears only if AI is enabled at both account and Room levels.

  2. Edit Mode

    1. AI Client Assist is never shown.

    2. Search functions as standard search only.

Search → AI Behavior

If AI is enabled:

  • Users can click “Ask AI Client Assist.”

  • The AI panel opens.

  • The current search query is automatically submitted to AI Client Assist.

What Search Covers

Search indexes only content that is visible to the current viewer.

  1. Buyers

    1. Can search only visible content.

    2. Hidden/Internal tabs, sections, and internal tasks are excluded.

  2. Sellers (Edit Mode)

    1. Can search all Room content.

    2. Hidden tabs and internal tasks are included.

Indexed Entities

Search includes:

  • Tab names

  • Section names

  • File names and titles

  • Link titles

  • CTA headers, body text, and button labels

  • Text section body content

  • Carousel card titles

  • Milestone titles (Process Overview)

  • Task names (Next Steps)

  • Our Team names and job titles

  • Welcome section title and email

  • File-sharing item names

  • Mobile View URLs

Search does NOT include:

  • Subtasks

  • Task descriptions

  • Comments

  • Hidden sections (for buyers)

  • Email/phone from Our Team

Result Types & Display Rules

Search results are grouped under:

  • Tabs

  • Sections

  • Content

Ranking & Ordering

Results follow the Room structure:

  1. Tab order

  2. Section order within the tab

  3. Item order within the section

Navigation Behavior

When a result is selected:

  1. The correct Tab opens.

  2. The Room scrolls smoothly to the target.

  3. The relevant element is briefly highlighted.

  4. Content is NOT auto-opened (no file preview, no drawer opening).

Edge Cases

  • Multiple matches inside a carousel show separate rows.

  • If multiple matches exist inside the same item, only one result row is shown.

  • If multiple matches occur in the same snippet, all visible instances are highlighted.

When to Use Search

Search is useful when:

  • A Room contains multiple tabs and sections.

  • You need to locate a specific file, task, or keyword quickly.

  • You want to navigate directly to content without manually scrolling.
