HubSpot Integration - Setup & how to use

Syncing HubSpot deals with your rooms

The Aligned and HubSpot integration allows users to connect HubSpot's powerful CRM service to Aligned's workspace collaboration tool, streamlining the process of tracking deals and managing leads and companies. This integration provides users with better visibility on the deals they are working on and syncs the two systems for a more efficient workflow.

Requirements

  1. The integrating user must have an active HubSpot account.

  2. Integration is done on a company level basis by an account admin.

  3. The Aligned and HubSpot integration is available for Aligned’s enterprise plan only.

About HubSpot

HubSpot is a CRM (Customer Relationship Management) service that helps users manage their sales, marketing, and customer service operations. The platform offers features such as lead and deal tracking, email marketing, and analytics, among others.

Integration Setup

In order to enable HubSpot integration:

  1. Go to My Account > Settings > Integrations.

  2. Press Connect on the HubSpot integration.

3. Choose a HubSpot account.

1. Create a Room from a HubSpot Deal

Create an Aligned Room directly from a HubSpot Deal. From the Deal, click Create Aligned Room - a new Aligned tab opens with the template picker. Select a template (or start from scratch), and Aligned creates the Room, links it to the HubSpot Deal, and pre-fills company details (name, logo). The Room appears under the Aligned Room section on the Deal.

Each HubSpot Deal can be linked to one Aligned Room, and only the Deal owner can trigger the creation.

2. Mapping and Custom Fields

At the bare minimum, Aligned “pulls” the following data from HubSpot:

  • Deal name (account/ Opportunity)

  • Deal stage

  • Deal amount

  • Deal close date

  • Deal ID

Use the Push and Pull mechanism to choose which fields to sync:

  • ‘Pull’ allows you to retrieve information from the CRM into Aligned.

  • ‘Push’ enables you to send and update information from Aligned into CRM.

Once you finish, you can add custom fields to Aligned from Hubspot

3. How to connect a Room to CRM object

Now whenever you create a new room, you can search for an opportunity in Hubspot and Connect it to the room.

This linkage can also be established through the Room settings. Press on the Room’s settings icon > integrations > Connect with HubSpot.

Alternatively, you can click on the HubSpot icon located at the top-right corner. A drawer will appear, allowing you to connect your room with a Hubspot opportunity.

4. Bi-directional sync

Once you have connected the room, you'll be able to manage the deal from our platform through the CRM management drawer on the Room level and or from the main dashboard.

It displays both the default fields and any additional custom fields that were selected.

You can view the deal data from the CRM, including the fields you pulled, and have the ability to update the fields you selected to 'Push'.

Retrieving or updating CRM data is also available from drawer the main dashboard. Click on the HubSpot icon on the top-right corner.

5. Sync Room Analytics

After syncing the room, go to HubSpot, open the deal and press on View all properties.

In Deal information select the Aligned room and Add to your view.

Go back and now you can see the room’s link in the deal info, you can press on the link and access the room directly from HubSpot.

Go to Filter Activity and select Integrations > Aligned.

From now on you can see whenever a client or a prospect visited your room or made a comment on a room’s section directly from HubSpot.

Once you connected your room on HubSpot, you will be able to see more room analytics and information via the Aligned Card that was created in Hubspot

6. Creating a Room from Hubspot

If you don’t have a room connected to the deal in HubSpot, you can create a room directly from Hubspot by clicking “create room” in the Aligned card within the deal

7. Integration settings

You can access HubSpot integration settings from: My Account > Settings > Integrations.

8. Field Editing Permissions & Access Control

The settings in "Mapping settings" override the selection in “Advances Settings” → "Who can edit CRM fields in Aligned?".

There are four levels of permission for editing fields in Aligned, with the default being "Only Room Owner":

  1. Only Room Owner - Only the room owner can edit fields.

  2. Admins and Up - Only Admins and higher (including the room owner) can edit fields.

  3. Managers and Up – Only Managers and higher (including the room owner) can edit fields.

  4. All Users – Any user can edit fields.

📌 Note: Read-Only fields cannot be edited by any user, regardless of permission level.

9. Disconnecting the Integration

  1. Disconnection can be done on a toggle basis as described above.

  2. Or by disconnecting specific rooms through: room’s settings icon > integrations > Disconnect.

  3. Or by disconnecting the entire system integration through: My Account > Settings > Integrations and pressing Disconnect HubSpot.

10. Embedded Room Analytics in HubSpot

View your Aligned Room analytics directly inside the HubSpot Deal object → no need to switch tabs. The embedded widget is automatically connected to the Room linked to that Deal and shows the full analytics view (Overview, Timeline, Visits, Insights, etc.).

The widget is read-only by design. Most interactions stay inside the embedded view (clicking analytics tabs, filtering the timeline, opening AI highlights), while actions that require the full Aligned experience, such as opening a visitor drawer, the Stakeholder Map, or integrations, open Aligned in a new browser tab. Use the Edit and Preview buttons to open the Room in a new tab when you need to make changes.

No admin setup is required → the widget appears automatically once the HubSpot integration is connected.
