Salesforce CRM onboarding wizard

The Salesforce Onboarding Wizard is a guided checklist, intended to walk an admin through connecting Salesforce to Aligned. The wizard would open when an admin start a Salesforce connection from the integration settings, lays out every setup step on a single screen, and verifies the connection at the end. Once verification passes, the Salesforce integration is live and the admin can configure field mapping and triggers in Aligned.

Requirements

  • Plan: Available on all Aligned plans (Free, Basic, Pro, Enterprise, and Startup).

  • Role: Aligned Admin.

  • Salesforce access: You must be a Salesforce System Administrator, or have one available to complete the steps.

Opening the wizard

  1. Go to Settings → Integrations.

  2. Find the Salesforce row.

  3. Click Connect.

The setup checklist

The wizard shows a single screen with six steps. Steps 1 through 5 are required, while Step 6 is optional (but recommended) - you can verify the connection without completing it.

Complete each step in Salesforce, then return to the wizard and mark it done. The wizard does not check your work as you go, It runs a single verification at the end.

Step 1 — Confirm Salesforce System Administrator Permissions

Confirm the Salesforce account from which the integration is done has System Administrator privileges before starting. Only a System Administrator can complete the remaining steps.

  1. Confirm System Administrator access in Salesforce.

  2. Click Done.

Step 2 — Allow Aligned to be installed in Salesforce

Grant Aligned permission to be installed in the Salesforce environment.

  1. Click Allow in Salesforce →. Salesforce opens in a new tab.

  2. Approve the permission in Salesforce.

  3. Return to the Aligned tab and click ✓ Done to mark the step complete.

Step 3 — Install the Aligned package in Salesforce

Install the Aligned managed package from the Salesforce AppExchange.

  1. Click Connect to Salesforce →. Salesforce opens in a new tab.

  2. Log in to Salesforce.

  3. Select Install for Admins only → click Acknowledge → then click Install.

  4. When prompted, approve third-party access.

  5. Return to the Aligned tab and click ✓ Done.

Step 4 — Set up OAuth permissions in Salesforce

Configure OAuth permissions so Aligned can connect on behalf of approved users. OAuth stands for Open Authorization.

  1. In Salesforce, search Connected apps OAuth usage → find Aligned → click Install.

  2. Open Managed Apps → Connected Apps → Aligned and click Edit Policies.

  3. Under OAuth Policies, set Permitted Users to Admin approved users are Pre-authorized.

  4. Click Save.

  5. Return to the Aligned tab and click Done.

Step 5 — Assign user profiles

Assign the Salesforce user profiles that should have Aligned access. The System Administrator profile is mandatory - without it, the integration will fail verification.

  1. On the Connected Apps → Aligned page, scroll to Profiles and click Manage Profiles.

  2. Check every profile that should have Aligned access, including System Administrator.

  3. Return to the Aligned tab and click Done.

Step 6 — Define Aligned in Salesforce objects (recommended)

Add the Aligned Room related list to your Salesforce page layouts so Aligned rooms appear on your records. This step is recommended but optional - the connection verifies without it.

  1. In Salesforce, go to Setup > Object Manager.

  2. Search for the object you want to connect to (e.g., Opportunity, Account, or Lead). Opportunity is most common.

  3. Click Page Layouts, then select the layout you want to modify.

  4. In the top palette, open Mobile & Lightning Actions, then drag Create Aligned Room into the layout.

  5. Then, from the Related Lists section, drag Aligned Room into the layout.

  6. Return to the Aligned tab and click Done.

Verifying the connection

Once Steps 1 through 5 are marked done, the Verify connection button enables.

  1. Click Verify connection.

  2. Wait while Aligned tests the setup. The wizard shows Testing your Salesforce setup…

    1. Please note this can take up to a minute.

  3. The wizard then shows one of two results.

If verification passes:

The wizard shows a Salesforce connected confirmation.

Click Go to Settings → to close the wizard and open the Salesforce field mapping page, where the mapping and triggers can be configured.

If verification fails:

The wizard shows a Verification failed screen naming the step that couldn't be verified, for example We couldn't verify: Install Aligned package in Salesforce (Step 3). See Troubleshooting below.

Please go there to finish the process.

Leaving setup before you finish

The wizard can be closed at any time using the X. A “Leave setup?” confirmation appears, warning that the integration won't work until setup is complete.

  • Click “Continue setup” to return to the wizard with your progress preserved.

  • Click “Leave anyway” to exit.

Important: If you leave and reopen the wizard later, every step resets to unchecked and requires re-confirming. However, the work completed inside Salesforce stays intact.


Troubleshooting

Verification failed: "We couldn't verify: [step name] ([step number])" What this means: The final verification test could not confirm that the named step was completed correctly in Salesforce. The most common cause is the System Administrator profile not being assigned in Step 5, or the package not finishing installation in Step 3. How to fix it:

  1. Click Go Back to return to the checklist. The failed step is highlighted in red with an error banner at the top.

  2. Complete the named step again in Salesforce. Steps before and after it keep their state, so you don't redo finished work.

  3. Click Verify connection again. If it still fails, click the “Support” link on the failure screen to message support with the failed step already included as context.

Q: Why did my checklist reset when I reopened the wizard? The wizard resets all steps to unchecked on re-entry by design, so you re-confirm each step before verifying. Your Salesforce-side work is not lost — reopening only clears the Aligned checklist, not the package, OAuth, or profile setup you already did in Salesforce.

Q: Can I set up Salesforce in a Sandbox environment? The wizard sets up your Production Salesforce environment by default and does not offer a Sandbox option on screen. If you need a Sandbox setup, contact support.

Pro tips

  • Complete every Salesforce action fully before clicking Done, since the wizard only catches mistakes at the final verification step, not as you go.

  • Keep the Aligned tab open while you work in Salesforce. After each Salesforce action you'll return to the same tab to mark the step complete.

  • Don't skip the System Administrator profile in Step 5 — it's the most common reason verification fails.
