Understanding User Roles

In Aligned, user roles determine what each team member can view, edit, and manage across your workspace. Knowing the difference helps you assign the right permissions and maintain control over your account.

The highest-level role, automatically assigned to whoever creates the workspace. There can only be one Owner per workspace.

Can: Full access — billing, account management, adding/removing users, changing roles, viewing all rooms, and accessing all templates.

Best for team leads or ops managers who need broad management access with full billing control.

Can: Add/remove users, change roles, view all rooms, access all templates.

Best for team leads who need visibility across the workspace without admin control.

Can: View all rooms, access tab and room templates.(When enabled by admin)

Cannot: Add/remove users or change roles.

The default role for standard team members like sales reps.

Can: Access their own rooms and rooms they've been invited to, leave comments, view recent activity in the Rooms dashboard. Cannot: View other reps' rooms, access templates unless shared directly.

Can I change a user's role? Yes — Owners and Admins can go to My Account → Settings → Members to manage roles.

Can a User see other team members' rooms? No. Upgrade them to Manager or above for full visibility.

Can external users edit rooms? No. External users can only view and leave comments.

Who can access templates? Managers, Admins, and Owners only — unless a template is shared directly with a User.
