AI Email Agent

The AI Email Agent helps you reply faster and keep buyers engaged in the right Aligned Room. It generates smart email drafts, inserts Room links automatically when eligible, and auto-labels your inbox so you can triage and respond with less effort.


What does the AI Email Agent do?

The AI Email Agent has four core capabilities.

Smart, thread-aware drafts for key sales scenarios. The AI Email Agent reads the entire thread — including participants, tone, and context — to generate relevant, ready-to-send replies for situations like meeting scheduling, case study requests, competitor questions, and product or technical queries.

Room link insertion. When the system identifies the right Room and your settings allow it, it automatically inserts the Aligned Room link into your draft. You can control this by toggling the Room link option on or off in the AI Email Agent settings.

Inbox auto-labeling. When enabled, Aligned scans incoming Gmail emails and assigns one label per email based on the subject, body, and sender. Labels are created and synced directly in Gmail.


Who can use the AI Email Agent?

The AI Email Agent is available on the Pro and Enterprise plans. It also requires a Google integration to be connected.

Important: Drafts will not be generated if the sender is not connected to an active Aligned Room.


How do I set up the AI Email Agent?

Setting it up takes three steps.

Step 1 — Connect Google. Go to Settings → Integrations → My Integrations → Google Calendar, Email & Contacts and connect your Google account.

Step 2 — Turn on the Email Agent. In the AI Email Agent settings, toggle the agent ON.

Step 3 — Choose your preferences. Decide whether to enable Room link insertion and inbox auto-labeling based on your workflow.


How do I enable inbox auto-labeling?

Go to: Settings → Integrations → Google Calendar, Email & Contacts → Email Labeling toggle → ON.

What labels does Aligned apply to my inbox?

Aligned uses a predefined set of labels to help you prioritize at a glance. These include:

  1. To respond (needs your reply).

  2. FYI (relevant but not addressed to you).

  3. Comment (needs attention or possible action).

  4. Notification (automated service emails).

  5. Meeting update (invite changes).

  6. Awaiting reply (you're waiting on a response).

  7. Actioned (no further action needed).

  8. Marketing (newsletters and generic updates).

  9. Aligned comments / Aligned notifications (activity from the Aligned platform).


What are the rules around auto-labeling?

There are a few important guardrails to be aware of. If you turn off categorization, Aligned will stop labeling new emails, but existing labels will remain. If an email already has a Gmail label, rule, or folder applied, Aligned will not override it. If you manually remove a label that Aligned applied, it will not re-label that email in future runs. If you delete a label in Gmail settings but keep it enabled in Aligned, Gmail may recreate the label automatically the next time Aligned applies it.


FAQs

Can I control whether Room links are added to my drafts?

Yes. You can turn Room link insertion on or off under the AI Email Agent settings at any time.

Will the Email Agent draft replies for every email I receive?

No. Drafts are only generated for supported sales scenarios and when the sender is connected to an active Aligned Room.

Does the AI Email Agent work with email providers other than Gmail?

Currently, the AI Email Agent requires a Google integration. Other providers are not supported at this time.

What happens if I disable auto-labeling after it's been running?

Aligned will stop labeling new emails, but any labels already applied to existing emails will stay in place.
