Admin Guide: Salesforce Integration Overview & Requirements

Easily sync your data bi-directionally and cut down on duplicate work

To help you better manage your opportunities and reduce duplicate efforts, Aligned integrates directly into Salesforce through a bi-directional syncing method.

Aligned users can push & pull Opportunity and Account fields between Salesforce and Aligned, and push tasks and custom fields to Salesforce.

Aligned utilizes an OAuth connection to sync data between both platforms. When you're setting up Aligned for the first time, all configurations will be done within Aligned and within Salesforce. Aligned is a native APEX application.

Aligned is compatible with Salesforce Lightning, Salesforce Aloha ("Classic"), Salesforce Console, and the SKUID overlay.

Minimum Requirements

  • You must have a Aligned Enterprise plan to enable your Salesforce integration.

  • Aligned is compatible with Salesforce Lightning, Salesforce Aloha ("Classic"), Salesforce Console, and the SKUID overlay.

  • Aligned uses Rest API calls to communicate and sync with Salesforce. Enterprise and Unlimited editions are bundled with Rest API calls.

  • You need to be a Salesforce Admin in order to successfully complete the integration

Capabilities Overview

Aligned provides the following options via its Salesforce integrations

  • Sync all rooms with SalesForce

  • Auto create Aligned room from CRM trigger

  • Sync room analytics with Salesforce

  • Sync internal notes with Salesforce

  • Sync plan tab tasks with Salesforce

  • Bi-directionally sync Salesforce fields with main room dashboard, internal tab and drawer

1. Mapping and Custom Fields

What Gets Synced

At the bare minimum, Aligned "pulls" the following data from Salesforce:

  • Object name (account/ Opportunity)

  • Object stage

  • Object amount

  • Object close date

  • Object ID

  • Owner ID

  • Record Type

  • Client website

  • Client logo

Mapping Settings

Use the Push and Pull mechanism to choose which fields to sync:

  • ‘Pull’ allows you to retrieve information from the CRM into Aligned.

  • ‘Push’ enables you to send and update information from Aligned into CRM.

Custom fields

  • This form enables you to add additional custom fields to Aligned from the CRM.

  • You are able to add as many fields as you please.

2. Auto Room Creation

Automatically generate an Aligned room triggered by your CRM. Define the Salesforce object, specify the trigger, and select a template for the Aligned Room creation process.

3. How to connect a Room to CRM object

Now whenever you create a new room, you can search for an opportunity in Salesforce and Connect it to the room.

This linkage can also be established through the Room settings:

4. Bi-directional sync

Once you have connected the room, you'll be able to manage the opportunity from our platform through the CRM management drawer or main dashboard.

It displays both the default fields and any additional custom fields that were selected.

You can view the opportunity data from the CRM, including the fields you pulled, and have the ability to update the fields you selected to 'Push'.

Retrieving or updating CRM data is also available from the CRM columns in the main dashboard. To sync the data, choose the CRM columns you want to display in the table.

5. Sync Rooms analytics

Once a Room is connected, you can view client or prospect activities directly in Salesforce, including room visits, section comments, and more.

6. CRM reporting

You can make some reports that allow you to measure engagement, track interactions, and gain actionable insights.

The reports are:

  1. Aligned Rooms with Aligned Activities.

  2. Leads with Aligned Rooms.

  3. Accounts with Aligned Rooms.

  4. Opportunities with Aligned Rooms.

How to Create a Report in Salesforce

  1. Go to the Reports tab in Salesforce.

  2. Click New Report.

  3. Move to “All” category.

  4. Search “Aligned”, choose a report type and click “Start Report”.

  5. Add filters to narrow your data (e.g., "Show opportunities linked to Aligned rooms").

  6. Drag and drop fields into the report (e.g., Total Visits, Last Visit Date).

  7. Click Save & Run, name your report, and save it in a folder.

Your report is now ready to view, share, or export!

Predefined Reports

Any column can be removed by editing the reports.

Aligned Rooms with Aligned activities: Displays detailed engagement data, including buyer interactions:

  1. Aligned Room ID - Unique room identifier

  2. Activity Date - When the action happened

  3. Activity Name - Action name

  4. Client Engagement - Interaction level

  5. Created Date - When the room was created

  6. Room ID - Unique identifier for room

  7. Room URL - Room’s direct link

  8. Visitor Email - Email of the visitor

  9. Visitor ID - Unique identifier for visitor

  10. Visitor Name - Name of the visitor

Leads with Aligned Rooms: Highlights leads engaged with Aligned rooms, helping you measure lead quality and prioritize follow-ups:

  1. Full Name - User's complete name

  2. Company - User's organization

  3. Aligned Room Name - Room title in Aligned

  4. Created Date - Room creation date

  5. Last Room Visit - Last access date

  6. Room ID - Unique room identifier

  7. Room Owner Email - Owner’s email address

  8. Room Trend - Engagement trend

  9. Room URL - Direct link to room

  10. Total AI Chats - AI interactions count

  11. Total Comments - Number of comments

  12. Total Interactions - Total user actions

  13. Total Room Visits - Visit count

  14. Total Time Spent - Time spent in room

  15. Total Visitors - Unique visitor count

  1. Accounts with Aligned Rooms: Analyzes room activity across accounts to give a high-level view of engagement:

  2. Opportunities with Aligned Rooms: Tracks opportunities linked to Aligned rooms, showing total visits, last engagement, and activity trends (e.g., Heating, Cooling, or Active):

7. View Aligned Reports in Salesforce

Aligned creates buyer journey insights in Salesforce to track buyer engagement and room activity. Aligned creates a custom object and provide detailed insights directly in Salesforce.

Aligned Room Object

Tracks overall room engagement metrics linked to opportunities:

  • Location: Under the “Aligned Room”.

  • Key Fields: Room Name, Total Visits, Activity Trends (Heating/Cooling/Active), Last Visit Date, etc.

Aligned Activity Object

Tracks individual buyer actions in a room:

  • Location: In the Related Tab of the Aligned Room Object.

  • Key Fields: Activity Name, Visitor Name, Activity Date, Content Summary (e.g., "Viewed file: Proposal.pdf"), etc.

How to Use

  1. Room Data: View engagement metrics in the Aligned Room Object.

  2. Track Activities: Monitor specific buyer actions via the Aligned Activity Object.

  3. Analyze Trends: Use activity trends to prioritize and adjust strategies.

Custom objects offer a simple way to track engagement and improve decision-making.

8. Sync contacts from Aligned to CRM

Access Salesforce integration settings from: My Account > Settings > Integrations.

When Sync contacts from Aligned to CRM is enabled, any visitor with an email who enters a room will be automatically added as an contact in Salesforce. A field called "Aligned contact source" will be populated with the value "Aligned room".

A contact that already exists in the object will not be added.
