Feature Summary
The Meetings tab adds call summaries and next steps from your CRM into an Aligned room automatically after each call. Your rooms stay current on their own: every call becomes a record in the room, so the latest summary and next steps are always waiting there for you and your clients. Clients see a summary once both the Meetings tab and that section are visible to them, and the AI Client Agent uses the content your clients can see to answer their questions in the room. Summaries start flowing as soon as the room is connected to a Salesforce or HubSpot object and Auto-update rooms after calls is on.
Prerequisites
Plan: availability depends on your plan - see the Aligned pricing page.
Role: Connecting the account to a CRM requires Admin access. Each room owner controls their own Post-call Automations settings.
Technical: The account must be connected to Salesforce or HubSpot, and the specific room must be linked to a CRM object.
Default setting: Once the account is connected to a CRM, Auto-update rooms after calls is on by default, so summaries start reaching your connected rooms without any further setup.
How to Turn On Post-call Automations
Post-call Automations control how call summaries reach your rooms. Find them in your personal settings.
Click your profile and open Settings.
Open the My settings tab.
Scroll to Post-call Automations.
Toggle Auto-update rooms after calls on.
Toggle Auto-show to client on if you want new summaries visible to clients immediately. Leave it off to review each summary before clients see it.
Toggle Notify my clients when a new summary is added on to email clients each time a summary lands.
Auto-update rooms after calls stays visible on its own until your account connects to a CRM. Once the account connects, it is on by default, and while it is on, Auto-show to client and Notify my clients when a new summary is added appear below it. Turning the main toggle off hides the other two again.
Toggle | What it does |
Auto-update rooms after calls | Automatically add call summaries and next steps to your rooms after each call. |
Auto-show to client | Show new summaries to your clients automatically. When off, they stay hidden until you unhide them. This controls the sections only - the Meetings tab itself still has to be unhidden before clients can see anything in it. |
Notify my clients when a new summary is added | Emails your clients whenever a new summary is added to your room. Requires Auto-show to be ON. |
How to Review and Unhide a Summary
With Auto-show to client off, every new section arrives hidden so you can check it first.
Open the Meetings tab in the room.
Review the Next steps section and the Summary section for the meeting.
Edit the content if anything needs correcting.
Click the Internal badge on the section to unhide it.
Unhide the Meetings tab itself so clients can reach it.
Unhiding a section and unhiding the tab are two separate actions. Your clients see the Meetings tab once the tab is unhidden and at least one section inside it is unhidden. Auto-show to client takes care of the sections for you, so with Auto-show on you still unhide the tab once - after that, new summaries reach your clients on their own.
What clients see
Clients see a Meetings tab in the room containing a Next steps list and a Summary for each call, ordered by meeting. Next steps show due dates where the CRM provides them, and clients cannot see which sections you left hidden. Clients who open a link to a summary that is still hidden see a "Section not found" message, the same as any other hidden section in the room. Clients never see the empty states, and they never see that the content came from AI.
Banners in the Meetings Tab
Two conditions drive the banner at the top of the tab: whether the tab is hidden, and whether Auto-update is off.
Tab | Auto-update | Banner text |
Hidden | On | This tab is hidden. Until you unhide it, your clients won't see it and the AI Client Agent won't use it to answer questions. |
Hidden | Off | This tab is hidden and Auto-update is off. Your clients won't see it, the AI Client Agent won't use it, and new summaries won't be added after calls. |
Visible | Off | Auto-update is off! New summaries and next steps won't be added after calls. Turn it on to keep your rooms updated automatically. Your existing sections stay as they are. |
Visible | On | No banner. |
Each banner links to Settings.
Emails
Aligned sends two emails for the Meetings tab.
To the room owner, every time a summary lands.
To clients, only when Notify my clients when a new summary is added is on. All room visitors receive this email.
Client emails go out whenever a new summary is added, so a client can receive an email while the Meetings tab is still hidden. Opening the link in that case shows a "Section not found" message, the same as any other section you shared and then hid. Unhide the Meetings tab to make sure clients reach the content you email them about.
Limitations
Supported CRMs: Salesforce and HubSpot only. Accounts connected to any other CRM see the same empty state showing the Salesforce and HubSpot logos, and no summaries arrive.
Summaries start from the connection: Aligned adds summaries from calls that happen after you connect the room to a CRM object.
No cap on meetings: The Meetings tab holds an unlimited number of call summaries.
Your content stays yours: A summary that landed in the room stays there even if someone deletes it in the CRM. You remove it by deleting the section in the room.
Room connection limits: The number of rooms you can connect to a CRM depends on your plan - see the Aligned pricing page.
Private accounts: The Meetings tab appears in the room, and call summaries start flowing once you log in with your work email on a company account.

Q: My client got an email but says they can't find the summary. Why?
Client emails go out as soon as a new summary is added, even when the Meetings tab is still hidden, so your client may reach the room before the tab is visible to them. Unhide the Meetings tab and your client will find the summary where the email points.
Q: Does the AI Client Agent use sections I kept hidden?

The AI Client Agent uses only the content your clients can see. A hidden section stays out of its answers until you unhide it.
Unexpected errors
Q: Why is my call summary missing from the Meetings tab?
Q: Why is my call summary missing from the Meetings tab?
A call summary can be missing because the room is not connected to a CRM object, because Auto-update rooms after calls is off, or because the call happened before you connected the room. Check those three first, and if the room is connected and the toggle is on, contact Aligned support with the room link and the date of the call.
Security & Data Handling
Aligned reads call summaries and next steps from the connected Salesforce or HubSpot object and writes them into the room as sections. Aligned uses AI to recognise which part of the CRM record is the call summary and which part is the list of next steps, so each one lands in its own section. The wording comes from your CRM - Aligned organises it rather than rewriting it, and every section it creates carries a "Made with Aligned AI" mark that only you and your team see. Aligned does not write content back into your CRM from the Meetings tab.
Content added to a room stays in Aligned even after someone deletes the source record in the CRM, and only a room owner can remove it by deleting the section. Sections added to the Meetings tab follow the same visibility rules as any other section in the room - clients see a section once both the Meetings tab and that section are visible to them, either because the room owner unhid it or because Auto-show to client is on. The AI Client Agent works the same way: it uses only the sections your clients can see, so hidden sections never reach clients through the agent either.
